Not a controlled document of any management system built from this template. This page governs use of the template itself and must be retained in every copy and instance — see section 15.
This integrated management system template (the Template) is provided by Greenhat Group Pty Ltd (the Provider), free of charge, on the terms below.
The Template means everything supplied by the Provider as part of it, in any form and wherever held or published — the controlled documents, schemas, register designs, tooling and scripts, questionnaires, guides, training material, and the instructions for building, instantiating and operating a system from it, together with the structure, wording and arrangement of the system as a whole, and any part of any of them.
These terms apply however you obtained the Template — by download, repository copy, fork, or as part of any service — and whether or not it has been modified. Content you add or change is yours, and these terms do not make the Provider responsible for it; where you modify material supplied by the Provider, these terms continue to apply to that material as supplied.
By copying, instantiating, adapting or otherwise using the Template you accept these terms. If you do not accept them, do not use the Template.
1. What the Template is — and is not¶
The Template is a generic documentation starting point for building a management system aligned with ISO 9001:2015 and ISO 45001:2018. It is documentation only. A management system is something an organisation operates: documents, however good, do not by themselves make work safe, services conforming, or an organisation compliant or certifiable. All examples, figures, organisations and worked content in the Template are fictitious and illustrative only.
2. No professional advice, no advisor relationship¶
The Template is not legal advice, work health and safety advice, consulting advice, certification advice, or professional advice of any kind, and your use of it does not create any advisor–client, consultant–client, or fiduciary relationship with the Provider. Any consulting services are governed solely by a separate written engagement, and nothing in the Template forms part of, or varies, such an engagement.
3. Competence — who may implement this¶
Instantiating and operating a management system from the Template calls for judgement, not just editing. It is a condition of your use of the Template that the work is carried out, or directly supervised and reviewed, by people with the skills and experience appropriate to it. Three distinct competencies are involved:
a. Management system — sufficient to judge whether each document, decision marker and questionnaire answer is correct and appropriate for your organisation, and to operate the system afterwards;
b. Work health and safety, and legal — sufficient to identify the duties that apply to your organisation in your jurisdiction and to verify every legal reference against authoritative sources; and
c. Information technology and information security — sufficient to configure, verify and maintain the repository, register base, access permissions and credentials on which the system runs.
One person may hold more than one of these. The Provider has no means of assessing, and does not assess, the competence of any person who uses the Template. Use of the Template without competence appropriate to the task is use contrary to these terms.
4. Legal and safety responsibility stays with you¶
Duties under work health and safety law, and all other legal duties, rest with your organisation and its officers and cannot be transferred to the Template or the Provider. The Template deliberately ships with no jurisdiction-specific legal content: every legal reference, obligation, notification duty, retention period and similar item must be identified and verified by you against authoritative sources for your jurisdiction before reliance. Placeholder text, unresolved decision markers and unadapted generic content are not fit for operational use, and using them as if they were is use contrary to these terms.
5. Your responsibility for adoption¶
Nothing in the Template has any effect in your organisation until your own authorised people have reviewed, adapted and formally approved it through your own document control process. You are solely responsible for the suitability of everything you adopt, for training and resourcing its operation, for the records your organisation keeps, and for every decision recorded in response to the Template's decision markers and questionnaire.
6. Your information, confidentiality and security¶
A management system built from the Template holds your organisation's own information. Depending on how you use it, that will typically include the names and contact details of workers, training and acknowledgement records, incident and hazard information, audit findings, and records of non-compliance. All of it is yours, held in systems you choose, control and administer.
The Provider does not host, store or control your instance, your repository, your register base or their contents, and has no access to them, except to the extent expressly agreed in a separate written engagement.
The Template is a documentation structure. It is not an information-security control, and it has not been assessed or certified against any information-security or privacy standard.
Decide what information you place into any system built from the Template, classify and protect it according to its sensitivity, and satisfy yourself — with advice where you need it — that your arrangements meet your obligations before you place any real information into an instance. Those obligations may include, but are not limited to, the Privacy Act 1988 (Cth) and the Australian Privacy Principles, notifiable data breach requirements, any duty of confidence you owe your clients, and any restriction on disclosing information outside Australia that follows from your choice of platform. Incident and hazard records in particular may contain health information, which attracts additional obligations in most jurisdictions.
7. Third-party platforms, configuration and access¶
The Template is designed to be operated on third-party platforms (for example GitHub and Airtable). Those platforms are not supplied, controlled or configured by the Provider, and are governed by their own terms, pricing, availability and security arrangements.
You are responsible for:
a. selecting platforms and plans appropriate to the sensitivity of your information;
b. configuring and verifying every access permission, repository visibility, sharing setting and publication setting before any real information is placed in them, and at intervals afterwards;
c. the issue, storage, rotation and revocation of all credentials, tokens and keys used to operate your system, none of which the Provider issues, holds or manages; and
d. keeping up with changes those platforms make to their features, defaults or security behaviour.
Platform defaults and behaviour change without notice and outside the Provider's control. Any instruction, setting name or step in the Template that describes a third-party platform reflects that platform only as at the time of writing. Treat it as a starting point and verify the actual configuration in front of you — the Template's instructions are not a substitute for that check.
The Template's design assumes a private repository and no public site publication. Publishing any instance, or any part of one, is a decision only you can make.
8. Tooling¶
The Template includes executable tooling — scripts that copy, generate, modify and delete files, and that connect to third-party services using credentials you supply. It is supplied as source, for you to review before you run it, and without warranty of any kind, including that it is free of defects. You are responsible for reviewing, testing and running it, for the environment you run it in, and for maintaining your own backups.
9. AI-assisted content¶
Portions of the Template, and of instance content drafted from your questionnaire answers, may be produced with the assistance of artificial intelligence tools. Such content requires — and is expressly conditioned on — human review and approval by your organisation before use. The Provider does not warrant AI-assisted output.
If you use AI tools in instantiating or operating your own system, whatever you provide to them is handled under that tool provider's terms, not the Provider's. Decide what information is appropriate to give to any such tool, and configure it accordingly, before using it with real organisational content.
10. No warranty¶
The Template is provided "as is" and "as available", without warranty, condition, representation or guarantee of any kind, express or implied — to the maximum extent permitted by law this includes, without limitation, any warranty of accuracy, completeness, currency, quality, fitness for any particular purpose, non-infringement, or compliance with any law or standard. Without limiting that: the Provider does not warrant or guarantee that use of the Template will result in conformity with ISO 9001:2015 or ISO 45001:2018, a successful audit outcome, certification, or compliance with any legal requirement. Audit and certification outcomes depend on how your organisation implements and operates its system.
11. Limitation of liability¶
This section concerns the Template, which is supplied free of charge. The Audit Pack is supplied for a fee under its own terms — see Audit Pack terms — which govern consumer guarantees, refunds and liability for it.
To the maximum extent permitted by law, the Provider excludes all liability to you or any third party for any loss or damage of any kind arising out of or in connection with the Template or its use, however caused (including negligence), including direct, indirect, incidental, special and consequential loss, loss of profit or revenue, business interruption, loss of data, unauthorised access to or disclosure of information, regulatory penalties, and audit or certification outcomes.
Where liability cannot lawfully be excluded, it is limited, at the Provider's option, to re-supply of the Template or payment of the amount paid for it (which, for the Template supplied free of charge, is nil), and in any event is limited to the maximum extent the law allows. The Provider will rely on that limitation only where it is fair and reasonable to do so.
Nothing in these terms excludes, restricts or modifies any right or remedy that cannot lawfully be excluded, restricted or modified, including any non-excludable consumer guarantee.
12. Indemnity¶
To the maximum extent permitted by law, you indemnify the Provider and its officers, employees and contractors against all liability, loss, damage, cost and expense (including reasonable legal costs) arising out of or in connection with:
a. your use of the Template, including any instance, adaptation or management system you build from it;
b. your configuration, administration and use of any third-party platform, and any access to, disclosure of, publication of or loss of information held in it;
c. any information you place into, publish from, or disclose from any instance;
d. use of the Template contrary to these terms, including use without the competence required by section 3; and
e. any claim by a third party — including any worker, client, regulator or other person whose information is held in your system — arising from any of the above.
This indemnity does not apply to the extent the liability was caused by the Provider's fraud, or by breach of a separate written engagement between you and the Provider.
The Provider will notify you promptly of any claim to which this indemnity applies, will not settle it without your consent (not to be unreasonably withheld), and will give you reasonable assistance, at your cost, in defending it.
13. Standards and trademarks¶
ISO 9001:2015 and ISO 45001:2018 are copyrighted works of the International Organization for Standardization. The Template does not reproduce their text, and using the Template does not substitute for holding your own licensed copies, which conformity work requires. "ISO" and related marks belong to their owners. The Provider and the Template are not affiliated with, endorsed by, or certified by ISO or any certification body.
14. No support or updates¶
The Provider may update the Template at any time but has no obligation to provide updates, corrections, maintenance or support, or to notify you of changes or of errors discovered after you take a copy.
15. Retention of this notice¶
This page must be retained, unmodified except for completing the record below, in every copy, fork and instance of the Template for as long as material derived from the Template is in use. It may be relocated within a repository but not removed.

16. General¶
If any part of these terms is unenforceable, that part is severed and the remainder continues in force.
These terms and the Licence are to be read together as the terms for the free supply of the Template. Where they are inconsistent, the Licence prevails on permitted and prohibited use and on intellectual property, and these terms prevail on competence, warranty, liability, confidentiality, security and indemnity. The Audit Pack is supplied separately for a fee under its own terms. Any signed written agreement between you and the Provider prevails over all of them to the extent of any inconsistency.
The Provider may change these terms at any time for copies taken after the change; the terms that apply to your copy are those published when you took it.
Sections 11, 12 and 16 continue to apply after you stop using the Template.
These terms are governed by the laws of Queensland, Australia, and the courts of that jurisdiction have exclusive jurisdiction.
